The Desk • A walkthrough

Look at it before you sign up for it.

Eleven screens, in the order a booking meets them, with the part that matters on each one marked. Two minutes at your own pace.

A walkthrough

Eleven screens, in the order a booking meets them.

Every screen below is the real thing, not an illustration of it.

Step one

One list, and the quiet things at the top

Every enquiry sits on the front page, grouped by where it stands. Above all of it sits what has gone quiet: a quote nobody opened, a held date with no contract, an invoice a month old. Work is rarely lost by being refused. It is lost by being forgotten.

Needs a nudge, always at the top
Every fee on the same line

Step two

Priced from your rate card, not from memory

The desk proposes the fee for that line up and that town, and warns you if it drops under your private floor. The client gets a link in your colours showing what the fee covers and what sits outside it.

One fee, and what it covers
Accept, and the date is held

Step three

Signed on the same link

The agreement is built from the quote that was accepted, so nothing is retyped. The client types their name, both sides get the PDF, and the booking moves itself to Confirmed.

Signed in the browser, PDF to both sides
Built from the quote, not retyped

Step four

Everything the day needs, on one page

Arrival, soundcheck, doors, on stage, curfew. The address, who to ask for, where to park. It is the page you send to a musician who has never been to the venue.

The running order
Address, contact, parking, notes

Step five

Your numbering, your bank details

Raised from the same record after the show, numbered in your own sequence, carrying your bank details and IBAN. No money passes through us at any point.

Your VAT position, handled
Your bank details, so you are paid directly

Step six

The whole history, on one timeline

Every enquiry and every order creates a contact, matched on the email address rather than added twice. Open anybody and the lot is there in order.

Every exchange, in order
Tag them, then write to the tag

Step seven

A mailing list that keeps its own paperwork

People join by confirming a link, the consent record is kept for you, and every letter carries a one press unsubscribe. Letters leave under your name from an authenticated server, which is why they arrive.

Opens, clicks and unsubscribes
Consent recorded for every recipient

Step eight

Records and merchandise, counted in the same place

Products, stock, discount codes and orders, with a storefront in your colours. Cards go through your own Stripe, PayPal or SumUp account, so the money moves from the customer straight to you.

Stock, prices and what is selling
Taken straight into your own account

Step nine

What is working, and what the pipeline is worth

Quoted, confirmed, invoiced and paid, by month. Letters, orders, and the visitors to your own website, counted without a cookie so the figures are complete.

Money actually received, by month
The pipeline, at each stage

Step ten

Colleagues cost nothing, and see only their part

Five roles. The marketing person sees the shop and the letters and no fees at all. The figures a colleague should not see are filtered on the server and never reach their browser.

Five roles, and exactly what each can see
